Position Description

  • Manage, plan, and implement the delivery of registrar operations including maintenance of student information systems, production of data, queries and reports, tuition and billing, and general system coordination.
  • Reporting to the Registrar, the Assistant Registrar is responsible for a wide range of operational activities related to registration, the management of student records and course records, the management and development of the operations calendar, the management of student, staff, and faculty training and communications, and the further development of documentation.
  • Manages the registration and course enrollment processes of approximately 1,000 degree and non-degree students.
  • Oversees the student and course databases, managing the collection and flow of data and ensuring accuracy.
  • Ensures a continuously high level of customer service to both internal and external constituents.
  • Oversees cross-registration functions and acts as the primary resource to HGSE and Harvard faculty and staff in this capacity.
  • Manages student degree progress, degree candidacy, and the integrity of commencement lists and programs.
  • Monitors production of official transcripts as well as enrollment verifications.
  • Supports academic advising by serving as a resource on student academic record/history and HGSE academic policies and procedures.
  • Develops and maintains a comprehensive Office of the Registrar policy and procedures manual and documentation.
  • Maintains the office’s external website. Anticipates and makes recommendations for technological improvements.
  • This position will play a critical role in the assessment, prioritization and management of Enrollment Services related projects.
  • Responsible for managing associated office supply and postage lines in budget, including reallocation of resources as necessary. Hires, trains, supervises and evaluates two staff. Performs other duties as assigned by the Registrar.
  • Overseeing both the course catalogue and course evaluation processes.
  • Providing ongoing training
  • Handling budgetary responsibilities for office supplies and postage
  • Overseeing the course information collection and accurate maintenance of course records
  • Recommending technical changes based on best practices at other Harvard Schools and feedback from HGSE constituents
  • Acting as a resource to students for matters of HGSE academic policies and procedures.
  • Ensuring the smooth operation of the office and providing good customer service
  • Maintaining student records
  • Overseeing cross-registration
  • Ability to work extra hours as needed during peak periods
  • The Assistant Registrar reports to the Registrar and supervises staff positions

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 3 years’ relevant work experience

Additional Qualifications and Skills

  • Demonstrated experience with relational databases, statistical data analysis, and experience using data for strategic planning purposes; proficiency with Excel and HTML;
  • experience developing procedures and processes;
  • Excellent analytical, project management, and trouble-shooting skills;
  • demonstrated ability to think strategically and to use data for strategic planning purposes;
  • excellent customer service, team, interpersonal, and communication skills;
  • flexibility and adaptability;
  • excellent organizational skills and ability to work with a high degree of accuracy under deadline.
  • Previous experience supervising staff strongly preferred.
  • Previous experience working with PeopleSoft Campus Solutions strongly preferred.
  • Knowledge of Microsoft Office Suite, intermediate Excel skills
  • Working knowledge of basic registrar principles
  • Supervisory experience
  • Familiarity with Student Information Systems (SIS) and other technology tools related to academic program management

Physical Requirements

  • Sitting using near vision use for reading and computer use for extended periods of time
  • Lifting (approximately 20 to 30 pounds), bending, and other physical exertion

This position is based in Cambridge MA.
